For solo & small tax practices

Add capacity without hiring.

AI client intake for tax firms.

One secure link per client, built from last year's return. Kaseload asks for the documents, chases the stragglers, reads what comes back, and tells you exactly what is still missing — before the return hits your desk.

Built for EAs, AFSP participants, unenrolled preparers and CPAs running 1–5 preparer shops.

The bottleneck

You are not short on expertise. You are short on capacity.

The scarce hours in a small practice do not go into judgment calls. They go into asking for a W-2 four times.

6 weeks

of chasing before prep starts

The organizer goes out in January. The last missing 1099 lands in March. Everything in between is email.

The 4th ask

is the one that costs you

Every follow-up is unbilled admin work, and it is the work least worth a licensed preparer's time.

Turned away

clients you had room for

Capacity gets capped by intake, not by preparation. The returns you declined were a paperwork problem.

How it works

Request. Chase. Read. Reconcile.

Four steps that currently sit in your inbox. Kaseload runs them and hands you a complete file.

  1. 01

    The request builds itself

Point Kaseload at last year's return. It works out which documents this client should send and generates one secure link — no portal login, no password reset call.

  2. 02

Your client uploads from their phone

Photos, PDFs, screenshots, forwarded email. Whatever they actually have, in whatever form they actually have it.

  3. 03

    Kaseload reads and files it

Each document is classified, renamed to your convention and filed into your folder structure. No drag-and-drop, no re-typing.

  4. 04

    It reconciles against last year

The one that matters. Kaseload compares what arrived against what the prior year shows and flags what is still missing — by name.

What it does

The whole intake season, handled.

This is what runs today in the pilot. Everything on this list is something we will show you live on a call.

Recognised today:W-21099-NEC1098K-11099-B

One link per client, pre-built

Generated from the prior-year return, so the ask is specific — not a generic 40-line organizer nobody finishes.

Uploads that meet clients where they are

Phone photos, PDFs, screenshots, forwarded email. Mobile-first, and no account for the client to create.

Classification and renaming

W-2, 1099-NEC, 1098, K-1 and 1099-B are recognised, renamed and filed to your structure automatically.

Prior-year reconciliation

Missing documents are named before you open the file — not discovered at the point you sit down to prep.

Reminders you don't send

Follow-ups go out on a cadence you set and stop the moment the document arrives.

A file that is complete on arrival

The handoff to prep — in your software, however you already work — is the first time you have to think about the client.

Where we fit

We are the six weeks before data entry.

Plenty of good tools automate the preparer's side — documents in, tax software populated. Kaseload automates the client side: requesting, chasing and reconciling the documents so the file is complete before anyone preps anything.

Everyone else starts here

Documents on your desk → tax software

Useful. But it assumes the documents already arrived.

Kaseload starts here

Client's phone → complete, reconciled file

The part of the season that actually consumes your weeks, and the part no one has automated for practices your size.

Where this goes

Intake is the wedge, not the whole plan.

Now

AI document intake

Request, chase, read, file, reconcile. Shipping to pilot firms.

Next

AI-native client records

A client record built from the documents themselves, not re-keyed. Engagement letters, e-sign, deadline tracking.

Later

Agentic prep workflows

1040s, 1065s and K-1 packages, with the preparer reviewing rather than typing.

Pricing

Priced for a practice, not an enterprise.

No per-document fees, no implementation charge, no annual contract.

Founding firms

50% off for life — first 25 practices.

In exchange for a biweekly feedback call through your first season with us. We would rather build against a real caseload than a roadmap.

Claim a founding spot

Start here

We load your first 10 clients with you, on the call.

Twenty minutes, screen shared. Bring one prior-year return and watch the request link build itself. If it is not obviously faster than what you do now, we have both learned something in twenty minutes.

Questions

The ones we get asked at the booth.

Do my clients need to create an account?

No. They get one secure link, they upload from their phone, and that is the entire interaction. The password-reset support call is the thing we are trying to delete.

Isn't this just document scanning?

Scanning starts once the documents are on your desk. Kaseload covers the six weeks before that: working out what to ask for, asking, chasing, and confirming nothing is missing. It complements a data-entry tool rather than replacing one.

Does it replace my tax software?

No, and it is not trying to. Kaseload hands prep a complete, correctly named, correctly filed set of documents. What you prep in stays yours.

What happens when the AI misreads a document?

Every classification is shown to you with the source document one click away, and corrections take a click. Nothing is filed somewhere you cannot see it.

How does the prior-year reconciliation work without last year's file?

It works best from the prior-year return. If you do not have one — a new client — you can start from a document list and Kaseload tracks against that instead.

Is my client data secure?

Documents are encrypted in transit and at rest, links expire, and we do not train models on your clients' documents. We will walk through the specifics on the pilot call.
